Stock level alerts help you maintain optimal inventory by automatically notifying you when products reach their minimum levels. This prevents stockouts and ensures you can reorder products before they run out completely.

Setting Critical Stock Levels

To enable low stock alerts for a product:

  1. Edit the product you want to monitor
  2. Find the Critical Stock Level field
  3. Enter the minimum quantity that should trigger an alert
  4. Save the product

How It Works:
When your stock drops to or below this level, Telesto will trigger low stock notifications to help you reorder before running out completely.

A critical level of 0 means no alerts.
A product is only monitored once you set a critical level above 0. If the field is left at 0, that product is treated as having no threshold and will never appear in alerts or low stock reports. This is the most common reason a product seems to be ignored.

Critical Stock Level Configuration Options
  • Positive number (e.g., 10): Alerts when stock drops to or below this quantity
  • Zero (0): No threshold set, the product is not monitored
  • Negative one (-1): Explicitly excluded from low stock alerts and reports
Setting Overstock Limits

Just as important as monitoring low stock levels is tracking when inventory exceeds optimal levels. Overstock limits help you identify products that may be tying up too much capital or taking up excessive warehouse space.

To set an overstock limit for a product:

  1. Edit the product you want to monitor
  2. Find the Overstock Limit field
  3. Enter the maximum quantity threshold
  4. Save the product

Example:
If you set the overstock limit to 100 and your current stock is 110 units, this product will appear in the Overstock Report because it has exceeded the threshold by 10 units.

Why Overstock Limits Matter:
• Prevents excess capital tied up in inventory
• Identifies slow-moving products that may need promotion
• Helps optimize warehouse space utilization
• Enables better cash flow management

Overstock Limit Configuration Options
  • Positive number (e.g., 100): Sets the maximum threshold - products with stock above this level will appear in overstock reports
  • Zero (0): Any stock quantity will trigger overstock alerts - useful for products that should not be kept in inventory
  • Negative one (-1): Disables overstock monitoring for this product entirely

Configuration Examples:
• Set to 0: A product with 3 units in stock will appear in the overstock report
• Set to -1: The product will be completely ignored in overstock reports, regardless of stock level

Notification Types

Telesto provides two types of low stock notifications:

Instant Notifications
  • Sent immediately when an item reaches its critical stock level
  • Appears as a push notification on your device
Daily Email Notifications
  • Sent once a day, listing every product currently at or below its critical level
  • Includes products whether or not they had any recent activity
  • The number of low stock products appears in the subject line

How often you hear about the same product:
A product is reported the same day it drops below its critical level. If it stays low, you are reminded about it once a week rather than every single day, so the email stays useful without becoming noise.

Turning the Daily Email On or Off
  1. Go to Settings
  2. Open the Notifications tab
  3. Enable or disable the daily low stock email
  4. Save your changes

Not receiving the daily email? Check these in order:
• The daily low stock email is enabled in Settings → Notifications
• Your products have a critical stock level above 0
• The products are not marked as inactive, since inactive products are never included
• The email has not been filtered into your spam folder

Stock Level Reports

For on-demand monitoring, generate comprehensive stock reports anytime:

Steps to Generate Stock Reports:
  1. Go to Reports from the main screen
  2. Select one of the stock report options:
    • Low stock products: Complete overview of all low stock items
    • Low stock products (by category): Organized by product categories
    • Low stock products (by warehouse): Grouped by location
    • Low stock products (by supplier): Organized by supplier for easy reordering
    • Overstock Report: Shows all products exceeding their overstock limits
  3. Apply any additional filters if needed
  4. Tap Show Report

Excluding Items from Stock Reports

To exclude a product from low stock alerts and reports:

  1. Edit the product
  2. Set the Critical Stock Level to -1
  3. Save the product

To exclude a product from overstock monitoring:

  1. Edit the product
  2. Set the Overstock Limit to -1
  3. Save the product

Pro Tips:
• Set critical stock levels to account for your supplier lead times. If it takes a week to receive new inventory, set the level high enough to cover expected sales during that week plus a safety buffer.
• Review overstock reports regularly to identify slow-moving inventory that may benefit from promotional pricing or seasonal campaigns.
