Understanding Order Prefixes

Order prefixes provide professional order numbering and help distinguish between different warehouses, departments, or order types.

Example Order Number: ACME-1000
• "ACME-" is the prefix
• "1000" is the sequence number

Global Prefixes

Set universal prefixes that apply to all orders across your entire system.

Configure Global Prefixes:
  1. Navigate to Settings
  2. Go to the third tab
  3. Enter the Invoice prefix
  4. Enter the Purchase order prefix
  5. Save your changes
Global Prefix Example:
If you set "ABC-" as your invoice prefix, all order numbers will be:
ABC-0001, ABC-0002, ABC-0003, etc.
Per-Warehouse Prefixes

Customize prefixes for individual warehouses, allowing each location to have its own unique numbering system.

Set Warehouse-Specific Prefixes:
  1. Edit the warehouse you want to configure
  2. Scroll to the Prefix section
  3. Set the Invoice prefix for this warehouse
  4. Set the Purchase order prefix for this warehouse
  5. Save your changes
Independent Sequence Numbers

Each warehouse maintains its own sequence numbering, allowing for better organization:

Warehouse Prefix Examples:
Warehouse 001: W-0001, W-0002, W-0003
Main Store: MS-400052, MS-400053, MS-400054
Online Orders: WEB-20, WEB-21, WEB-22

Each warehouse can have its own prefix and sequence numbers that increment independently without affecting other warehouses' numbering.

How Prefixes Work
Order Creation Process

When creating a new order:

  1. Select the warehouse for the order
  2. Telesto automatically applies the appropriate prefix
  3. The system generates the next sequence number
  4. The complete order number is displayed (e.g., "ABC-1027")
Prefix Priority

Telesto follows this priority order:

  1. Warehouse-specific prefix (if set) takes priority
  2. Global prefix is used if no warehouse prefix exists
  3. No prefix if neither is configured
Best Practices
Prefix Recommendations:
  • Keep prefixes short (2-5 characters)
  • Use meaningful abbreviations (LON- for London, NYC- for New York)
  • Include department codes (SALES-, MAINT-, RENT-)
  • End prefixes with a separator (- or _)
  • Be consistent across all locations
